Official Competition Rules & Regulations
Hot Cyprus Dance Fest is an international dance festival bringing together dancers of all ages and skill levels in one of the Mediterranean’s most beautiful destinations.
The festival combines world-class competitions, educational activities, social events, and outstanding performances in a professional, friendly, and inspiring atmosphere.
The event is organized by Alexey Bgantsev, Irina Bgantsev and Pavel Malov.

Competitions for Juvenile, Junior, Youth, Adult and Senior dancers in International Ballroom and Latin disciplines.
The Organizer reserves the right to modify the schedule, combine sessions, or adjust the timetable depending on the number of entries and organizational requirements.

Additional disciplines or special events may be announced by the Organizer before or during the Festival.
The Festival is open to dancers from all countries.
Participation is available in the following categories:
PRO-AM
One Professional Teacher (Pro) and One Amateur Student (Am)
Sports Competition
Girls Solo, Couples, Juveniles, Juniors, Youth, Under 21, Adults, Seniors according to the Festival categories.
Every participant must register in the appropriate category according to age and level.
The Organizer reserves the right to verify eligibility at any time.
Age is determined by the age of the Amateur Student.
Single Dance, Multi Dance Challenge, Scholarship competitions:

All ages (0-99)
Participants may additionally compete one age category younger.
Age divisions are determined according to the official Festival schedule. The Organizer reserves the right to combine age groups when necessary.
PRO-AM competitions are divided into the following proficiency levels
Closed levels:
Open Levels:
Closed levels must comply with the official syllabus applicable to the selected discipline.
Open level has no choreography restrictions.
Participants may compete in their own level and one level higher.
The Organizer and Chairman reserve the right to reclassify any participant if the entered level is clearly inappropriate.
The Festival offers:
Single Dance, Multi Dance Challenge, Scholarship, Rising Stars, Championship, Hot Cyprus Single Dance Super Cup, Hot Cyprus Super Cup, Showcase, VIP Showcase.
Additional categories may be added according to the Festival program.

Online registration must be completed through the official Festival registration system.
Every participant is responsible for providing complete and accurate information.
The registration becomes valid only after:
The Organizer reserves the right to refuse or cancel any registration before confirmation without providing reasons.
Registration deadlines and available categories may close earlier if capacity has been reached.
All entry fees, admission tickets, festival packages, and additional services must be paid within the deadlines published on the official Festival website.
Only fully paid entries will be accepted into the competition.

All payments must be made using the payment methods specified by the Organizer.
Bank charges and transaction fees, if applicable, are the responsibility of the participant.
The Festival may offer a limited number of Unlimited PRO-AM Packages before the official registration opens.
This package allows the participant to enter an unlimited number of eligible PRO-AM dances, subject to the conditions published by the Organizer.

Additional services, admission tickets, accommodation, workshops, meals, and other optional products are not included unless specifically stated.
Participants may register for one or more competition categories.
To enter a Multi Dance Challenge, participants must also be registered in the corresponding Single Dance events of the same style.
To enter Scholarship, Rising Stars, Championship, Hot Cyprus Super Cup participants must also be registered in the required number of corresponding Single Dance events in the same discipline.
Unless otherwise announced, the same Professional Teacher must partner the Student throughout all dances within one competition category.
The Organizer reserves the right to merge categories with insufficient entries.
Participants may request modifications to their entries before the published registration deadline.
After the deadline, changes may be accepted only at the Organizer’s discretion.
Additional fees may apply for late changes.
No changes can be guaranteed after the final heat lists have been published.
The competition may consist of qualification rounds, quarter-finals, semi-finals, and finals, depending on the number of entries.
The number of couples progressing to each subsequent round is determined by the Chairman.
Normally, six couples qualify for the final. However, additional finalists may be admitted in the event of tied results.
The Skating System and internationally accepted judging procedures will be applied where appropriate.
The Organizer reserves the right to modify the competition format if necessary.
Music for all events is selected by the Organizer.
Competition music complies with internationally accepted tempo standards.
The Chairman may shorten or extend the music duration in order to maintain the competition schedule.
Participants are not permitted to request music changes during the competition.
Participants must report to the ballroom at least 40 minutes before their scheduled heat.
The Organizer is not responsible for missed heats due to late arrival.
No refunds will be issued for missed events.
Participants must remain on the dance floor until the music has ended unless instructed otherwise by the Chairman.
Leaving the floor before the end of the music may result in disqualification.
If a couple withdraws during a final due to illness, injury, or any other reason, they will receive the last available place in the dances not completed.
The Chairman’s decision regarding warnings, penalties, and disqualifications is final.
All performances are evaluated by an international panel of qualified adjudicators.

Judges’ marks and final results are final.
No appeals regarding judging decisions will be accepted except in cases of proven administrative or calculation errors.
Every participant receives official recognition for participation.
Awards may include:
Scholarship, Rising Stars, Championship, Hot Cyprus Super Cup and special events may include additional awards announced before the Festival.
The Organizer reserves the right to modify awards depending on the number of participants in each category.
All cancellation requests must be submitted in writing by email to the Organizer.
Refunds, where applicable, will be processed according to the Festival Cancellation Policy.

However, before the registration deadline it may be transferred to another participant upon written request and approval by the Organizer.
If the Festival is cancelled by the Organizer for reasons beyond its reasonable control, including but not limited to natural disasters, government restrictions, epidemics, war, civil unrest, or other force majeure events, the Organizer reserves the right to determine the refund procedure or offer alternative solutions.
All participants, teachers, officials, spectators and guests are expected to behave professionally, respectfully and in the spirit of fair competition.

The Organizer reserves the right to remove any participant or guest from the Festival without refund if their behaviour is considered inappropriate or harmful to the event.
Competitors are responsible for ensuring that their costumes comply with the regulations applicable to their discipline and age category.
The Organizer and Chairman reserve the right to prohibit costumes that may be considered unsafe, offensive or inappropriate.
Participants are responsible for the condition of their costumes, shoes and accessories.
Every participant competes entirely at their own risk.
Participants confirm that they are physically fit to compete.
The Organizer is not responsible for any illness, accident or injury occurring before, during or after the Festival.
Participants are strongly encouraged to obtain adequate travel and medical insurance covering competition activities.
The Organizer, venue management, officials, sponsors and partners accept no responsibility for:
Participants are responsible for their own property throughout the Festival.
The Festival will be photographed and filmed.
By registering for the Festival, participants grant the Organizer the unrestricted right to photograph, record and film them during all Festival activities.
The Organizer may use these materials for:
No compensation shall be payable for such use.
Professional filming or photography by third parties requires prior written approval from the Organizer.
Personal information collected during registration is processed solely for the purposes of organizing and administering the Festival.

Personal information will never be sold to third parties.
The Organizer reserves the right to:
Any decision made by the Organizer concerning the organization of the Festival shall be final.
The Organizer shall not be liable for failure to perform its obligations due to events beyond reasonable control, including but not limited to:
In such cases the Organizer may postpone, modify or cancel the Festival without further liability.
Any complaint concerning organizational matters must be submitted in writing within 14 days following the Festival.
Complaints concerning judging decisions will not be accepted unless an obvious administrative or calculation error can be demonstrated.
The Organizer will review all valid complaints and communicate its decision within a reasonable period.
The Organizer’s decision shall be final.
Submission of a registration form and/or participation in the Festival constitutes full acceptance of these Official Competition Rules & Regulations.
Participants confirm that they have read, understood and agreed to comply with all Festival rules.
These Rules & Regulations govern all matters related to participation in the Hot Cyprus Dance Fest.
The English version of these Rules shall prevail in the event of any translation discrepancies.
The Organizer reserves the right to update these Rules at any time. The most recent version published on the official Festival website shall be considered the official version.
